Managing Clients
Create and manage client accounts from your agency dashboard. Each client gets their own isolated workspace for chatbots and training sources. Invite client users and set per-client usage limits.
Each client you create has a fully isolated workspace with their own chatbots, training sources, conversations, and leads. Clients cannot see each other’s data, and you can switch between them instantly from your agency dashboard.
Creating a Client
- Go to Agency > Clients in your dashboard.
- Click Add Client.
- Enter the client’s name, untick any integrations you want to keep out of this workspace, and confirm.
The new client workspace is created immediately. You can now switch into it to start building chatbots.
Viewing Client Chatbots
Each client row in the Agency > Clients table can be expanded to see all of their chatbots at a glance. Click the client name (or the chevron) to expand the row and view their agents with key stats: sources, messages, and leads.
From the expanded view, click Manage next to any chatbot to jump directly into that chatbot’s dashboard.

Inviting Client Users
How to Invite a Client User
- Go to Agency > Clients in your dashboard.
- Click the actions menu (three dots) next to the client
- Select Users
- Enter the email address of the person you want to invite
- Choose a role (Administrator, Editor, or Member)
- Click Add Team Member.
Send invitations while accessing the dashboard through your custom domain. This ensures the invite email and registration flow use your agency branding instead of SiteSpeak’s.
What Client Users Can See
Client users are scoped to their specific client workspace. They can:
- View and manage chatbots belonging to their client account
- Access the inbox and respond to conversations
- View leads and conversation history
- Manage training sources (within their limits)
- Other client accounts
- The agency dashboard or settings
- Billing or subscription information
- Agency team management

Per-Client Usage Limits
Setting Limits
In the Agency > Clients table, each client row has Messages and Sources columns. Click on these fields to set a limit:
- Click the Set limit text (or the existing limit value) in the Messages or Sources column
- Enter the limit number
- Press Enter or click away to save.
How Limits Work
- Message credits: The limit controls how many message credits a client can use per month. When a client reaches their limit, their chatbots will stop responding until the next billing cycle or until you increase the limit.
- Sources: The limit controls how many training sources a client can add across all their chatbots. When reached, the client cannot add new sources until the limit is increased or existing sources are removed.
- Agency ceiling: Per-client limits work alongside your plan’s total limits. Even if a client has remaining allocation, they cannot exceed the agency’s overall plan limit.
Over-Allocation Warning
Per-client limits are soft limits. Setting them helps you manage allocation across clients, but your agency plan’s total limits are always the hard ceiling regardless of individual client settings.
Per-Client Integrations
Setting Integrations
- Go to Agency > Clients
- Click the actions menu (three dots) next to the client and select Edit Client, or set them when you create the client
- Untick the integrations to withhold and save
What Withholding Does
- The client’s dashboard shows the integration as not enabled by your agency, with no connect button and no upgrade prompt.
- A connection the client already made is disconnected at once: the saved connection is removed, and they connect again if you re-enable it. Discord channels already added as training sources stay, but stop syncing new messages.
- Withholding Tools & actions stops the agent from using the client’s installed tools. Their saved tools stay in place. Lead capture and transcript emails keep working, since they are part of the chat itself rather than tools the client adds.
Via the API
Your plan is still the ceiling. Ticking an integration your agency plan does not include does not unlock it.
Client API Keys (BYOK)
You can let a client bring their own LLM API keys, so their chatbots run on the client’s own provider accounts. This is off by default and is enabled per client with the byok_enabled field on the Create and Update Client Workspace API endpoints.

Credits Still Count
Disabling BYOK
A key that the provider rejects (revoked, expired, or out of provider credit) does not fall back to other keys. The client’s messages on that provider fail until the key is updated or removed. A failing Cohere key normally just skips search result reranking, so answers keep flowing with lower ranking quality.
Creating Chatbots for Clients
You can create chatbots for a client directly from the agency dashboard without leaving the page:
- Click the actions menu (three dots) next to the client
- Select Create Agent
- Enter the agent name, an optional website URL, and choose a theme color
- Click Create Agent
Client Actions
From the actions menu (three dots) next to any client in the Agency > Clients table:
- View Agents – Expand the row to see the client’s chatbots
- Users – Manage users invited to this client’s workspace
- Create Agent – Create a new chatbot for this client
- Edit Client – Change the client’s display name and which integrations they may use
- Delete – Permanently remove the client and all their chatbots, sources, and data. This action cannot be undone.
